We thank you once again for agreeing to present your research during the pre-conference week of the ESVS 35th Annual Meeting!

A total of  6 Fast-track sessions with the selected oral abstract presentations will be organised during the pre-conference week.

The sessions will happen on-line on 20th, 21st, 22nd of September, 2021 from 16:00 CEST to 20:00 CEST

Each session will be lead by a chair and 4 jury members.They are responsible for controlling the time of speech and facilitating questions. In addition, they will score each of the fast-track presentations in their session. The top-scored presentations will be invited to present an extended version of their presentation in one of the online plenary scientific sessions of the Annual Meeting

Following the Fast-track sessions, the authors of top-scored presentations will be invited to deliver an extended version of their presentation in one of the on-line scientific sessions of the Annual Meeting.

Should your abstract be selected for an extended presentation, you will be contacted by the ESVS Annual Meeting Secretariat on 24th of September.

How to prepare your presentation?

All presenters are required to prepare:

  • ONE SHORT ORAL PRESENTATION: 4 min presentation + 2 min Q&A

Please kindly make sure not to exceed the 4 minutes given for your presentation. The jury members of the session have a right to interrupt your presentation should the given time be over.

Following the Fast Track sessions, should your abstract be selected for an extended presentation at one of the scientific sessions of the meeting, please kindly make sure to prepare :

  • ONE LONG ORAL PRESENTATION: 7 min presentation + 3 min Q&A

In preparation of your presentation, we invite you to download and use the official ESVS Annual Meeting Presentation Template.

We kindly request you to include your presentation number communicated to you by e-mail next to the title of your presentation.  Missing your presentation number? Please contact Madina Lapeyre at madina@esvs.org

How to get your message across?

General

  • Keep your message clear and brief.
  • Use the provided ESVS Annual Meeting PPT template.
  • If your original graphs and graphics are too detailed or condensed they should be converted to a clearer and more simple format.

Text

  • Use dark primary colours for text.
  • Use a sans serif font – it will be easier to read (e.g. Arial, Verdana) and a minimum size 14
  • Use upper and lower-case text (avoid all CAPITALS – it is very difficult to read).

Layout

  • No more than six (6) to eight (8) words per line.
  • Ideally a maximum of six (6) lines per slide.

Effects

  • Do not include audio sounds such as bells, whistles, zooming sounds etc.
  • Any movies (AVI or MPEG files) should be embedded in the presentation and not require internet access to run.
  • Be careful with screen shots – when viewed on full-screen they will look different.

Should you have not done so yet, we remind you to register here as soon as possible. Please note the deadline to register for the ESVS 35th Annual Meeting is 31st of August, failure to register for the conference will result in withdrawal of your abstract from the programme of the meeting.

Authors of abstracts who have agreed to publish their research will be contacted by the ESVS Annual Meeting Secretariat after the meeting.

Authors of the abstracts presented during the Fast Track sessions which did not make it to the main scientific programme will be offered an open publication of their abstract at the supplement of EJVES Vascular Forum at €25 to cover the production costs.

Authors of abstracts accepted to the main scientific programme of the ESVS 35th Annual Meeting will be offered a publication of their abstract at EJVES free of charge.

We thank you once again for agreeing to present your research as an e-poster during the ESVS 35th Annual Meeting!

The ESVS Annual Meeting online platform will have a dedicated section with e-poster presentations.

The pre-recorded e-poster presentations will be accessible to all the registered participants of the meeting.

The panel of jury members will view and score the selected e-poster presentations to determine the top 3 eligible for a monetary prize.

How to deliver your e-poster?

To upload your video and poster please navigate to the Abstract Portal. Here you can log in with your log in details you used for submitting your abstract.

The deadline to upload your video and PDF poster is 1 September 2021 23:59 (CET).

Presentation

  • Length of poster presentation: 2 minute (recording);
  • Slide: 1 .ppt slide in .pdf – please use the templates provided below:

    • You can record your presentation for example in Zoom or MS Teams;
    • Please keep in mind you can only send the recording of your presentation once;

    • Before uploading your presentation please check your recording;

      • Navigate to the abstract portal and move to the Edit Abstract page;
      • On this page you can upload the documents.
    • You will not be required to deliver your e-poster presentation live during the conference. Your pre-recorded presentation uploaded to the ESVS 35th Hybrid Annual Meeting platform will be reviewed by the panel of e-poster jury members to define 3 award winning posters.

Camera and audio settings

  • Place your camera at eye level, for example use a pile of books, so that you won’t have to stare down;
  • Use a basic background, anything you see in the background can be distracting;
  • We strongly advise you not to sit in front of a light source (such as a window or a bright light), make sure that the light source comes from behind your screen so that your face is well exposed;
  • Use a HD camera, most of the modern laptops have one already installed;
  • A headset with microphone is advised;
  • We would strongly advise you to sit in a quiet room without any distractions or noise in the background;
  • Make sure your laptop is charged to 100% or to have it plugged in;
  • Please close all tabs in your internet browser to avoid confusion when you would like to share your screen;
  • Preferably use 2 screens. This has to do with your PowerPoint presentation in presentation mode, which takes up your entire screen;
  • We strongly advise you to wear clothes without any print;
  • Please be prepared before you start presenting.

The authors of e-poster presentations are required to register for the ESVS 35th Hybrid Annual Meeting before 31st of August. Failure to do so will result in withdrawal of your e-poster from the programme.

IMPORTANT: Please follow a dedicated link for abstract presenters to register for the event here. You don’t need to create an account, please kindly use the same account which was used for abstract submission.

The ESVS Annual Meeting Programme has a dedicated Prize session scheduled on-site on 29th of September from 10:30 to 12:30 CEST. The session will also be recorded and streamed live.

The Prize session will be lead by 6 jury members who will score each presentation to determine 3 winners of monetary prizes.

How to prepare your presentation?

All presenters are required to prepare:

  • Should you for some reason be unable to use the provided PowerPoint Template, please make sure to create your presentation in 16:9 format. 
  • The following presentation formats are allowed for upload: MS PowerPoint 
  • The following presentation formats cannot be handled or uploaded: Prezi, Apple Keynote
  • Movies should also be embedded within a PowerPoint presentation (so that they are part of the PPTX file). Linked movies (mostly in PPT) should be saved as external files to the same folder which contains also the presentation file. Please make sure that a standard Windows 10 computer can play those videos.
  • The most common video formats are supported: AVI, MP4, M4V, MOV, MPG, Windows-WMV.
  • The following media can be handled at the speaker service center: MS Windows-compatible USB memory sticks as well as USB hard drives.

Note: The authors of Prize abstracts unable to travel to Rotterdam should inform the ESVS Programme Coordinator as soon as possible. They will be given a possibility to deliver their talk online.

The ESVS 35th Hybrid Annual Meeting will be organised from 28th to 29th September, 2021 and will happen on-site in Rotterdam and on-line.

The programme of the event has 2 parallel scientific tracks with one track happening on-site and streamed on-line and the 2nd track organised purely on-line.

You as a faculty member must have already received the details on the proposed title and the length of your talk.

How to deliver your presentation?

In preparation of your presentation, we invite you to download and use the official ESVS Annual Meeting Presentation Template.

Should you for some reason be unable to use the above-provided template, please kindly make sure to include the conflict of interests resolution slide as the 2nd slide of your presentation.  Your presentation should be created in 16:9 format.

Are you planning to come on-site in Rotterdam and have a talk scheduled at one of the sessions happening in Rotterdam? 

  • Please make sure to pass by the Speakers Service Center to upload your presentation. Your presentation must be uplaoded no later than 2 hours prior to the session.

For the chairs of the sessions happening on-site

  • The chairs of the sessions will be asked to be present on the stage of the plenary room
  • As a session chair you will be responsible for introducing and inviting the speakers to come on stage, keeping track of the time, leading discussions and questions.
  • One of the chair members will be provided with an iPad to moderate the questions coming from on-line audience, as well as to launch the polls ( if any).
  • Additional technical information together with the session script will be provided closer to the conference date.

For the chairs of the sessions happening on-line

  • As a session chair, you will be responsible for introducing and inviting the speakers to come on stage, keeping track of the time, leading discussions and questions.
  • One of the chair members will be provided with a link to access the moderator page to manage the questions coming from on-line audience, as well as to launch the polls ( if any).
  • Additional technical information links to join your session together with the session script will be provided closer to the conference date.
